Registered training providers that run funded courses must use a training management system linked to SWDA's systems, so that enrolment, attendance and assessment data reach TPGateway and the training grant can be processed.

Moment 01 · Enquiry and quote

Quote the nett fee before the trainee commits.

A trainee's fee depends on age, citizenship and whether an employer is sponsoring the place. Nest applies the current SWDA funding rules to the course and returns the exact nett fee in the enquiry, so the quote holds when the invoice is issued.

Staff read the funding tables, work out the percentages manually and correct the quote after the enrolment is rejected.

Moment 02 · Registration

Take registration once, with every field the regulator needs.

The training provider's own registration form collects the trainee, the employer and the sponsorship in one pass. Nest checks each field against what TPGateway will ask for and assigns the registration to the consultant who brought it in.

Details arrive by email, chat and spreadsheet, and each one is typed again into the portal.

Moment 03 · Enrolment

Send the enrolment to TPGateway from the same record.

The enrolment leaves Nest with its fee collection status already set. The queue shows what was sent, what was accepted and what needs attention, so nothing sits unsent over a weekend.

Enrolments are keyed into the portal one by one, and a rejected record is found days later.

Moment 04 · Before class

Brief trainees and trainers without writing a single email.

Joining instructions, venue directions and reminders go out by email on a schedule the training provider sets, with the right attachments and copies to employers. When a trainee needs a personal word, the administrator sends a WhatsApp message straight from the class record.

Someone sends reminders manually the night before and hopes the list is current.

Moment 05 · On the day

Mark attendance by session and act on absence at once.

Nest shows the venue, the class list and the rain forecast for the morning. When a trainee has not signed in, the administrator sends a WhatsApp message from the class screen to ask whether they are on the way or would like to postpone, and the reply is recorded against the class. Attendance goes to TPGateway from the same screen.

Paper sheets are collected, checked and uploaded after the class, when an absence can no longer be recovered.

Moment 06 · Assessment and certification

Record the assessment and issue the certificate in one sitting.

Assessment results are recorded against each trainee and submitted to TPGateway. Nest converts the OpenCerts files into PDFs in a single batch and sends each certificate to the right trainee.

Certificates are downloaded, renamed and emailed one at a time.

Moment 07 · Fees and claims

Invoice, collect and claim without a second spreadsheet.

Invoices follow from the enrolment. Payments, SkillsFuture Credit claims and grant deadlines are tracked against each class, and Nest informs the team well before a grant lapses for a late submission.

Finance works from a separate spreadsheet and learns about a missed deadline when the grant is lost.

Moment 08 · Audit

Keep the evidence ready before the auditor asks.

Every class carries its own evidence, attendance, assessment records, feedback and a full audit trail of who changed what and when. Quality records and TPQA reporting draw on the same data the class produced, so the audit reflects the operation rather than a rebuild of it.

Evidence is gathered from folders and inboxes in the weeks before the audit.

Security

Built to be tested

2BIRDS is in discussions with the School of Computing at the National University of Singapore (NUS) to submit the Nest Training Management System for IFS4103. The objective is to designate Nest as an Enterprise Security Target, subjecting our codebase and architecture to rigorous evaluation by cybersecurity researchers trained to find subtle vulnerabilities.
